Privacy and Data Policy

Statement

We will not sell on or distribute your details to third parties (see below). We will only use your details for Wollaton Allotment business, to process your allotment application or add you to a waiting list for an allotment. We may at times contact you directly concerning developments within Wollaton Allotments.

For tenants, people on the waiting list or requesting a plot, the accuracy of those details is dependent on the information supplied by you and as such the association is entirely reliant on your accuracy.

As part of our commitment to your privacy and the accuracy of your details, we will check regularly that the information we hold, for plot holders and those on our waiting list etc., is both correct and up-to-date. We will send out a survey from time to time, asking respondents to provide us with their latest contact details and their preferred method of being contacted by us. For tenants this is part of the tenancy agreement to inform us of any change in their details (tenancy agreement section 4.23).

Our website supplies us with 'analytics' that provide us with information, how many visits the site has, which pages on the site receive most views etc. The 'analytics' we receive are totally anonymised. However, if you'd like to get a better understanding of how to get control of cookies on your system, we'd suggest that you go to: www.aboutcookies.org . They have lots of up-to-date information about how to manage cookies in the latest internet browsers.

We may also use your personal data for other purposes, which may include:  

  • providing you with information you've requested from us or information we are required to send you

  • operational communications, like changes to the allotment rules, our website, consultations, security updates, or assistance with using the services on the allotment site

  • Marketing communications: if in the future we are in a position to give you information regarding any discount for gardening materials seeds etc.

  • Asking for your feedback or to take part in any research we may conduct.

  • Assisting with the resolution of issues relating to our services.

  • Detecting and prevent any fraudulent or malicious activity.

  • Making sure that everyone is using our allotment site fairly, enabling us to monitor and enforce. For example, undertaking plot inspections and upholding/enforcing our allotment rules where required.

Third Parties

There may be rare times when we need to share some of your personal data with a third party, for example: 

  • Regulators, law enforcement bodies, government agencies, courts, or other third parties, where it is necessary to comply with applicable laws and / or regulations, or to exercise, establish or defend our legal rights. Where possible and appropriate, we will notify you of this type of disclosure

  • Other people, but only with your expressed consent e.g., people specifically appointed by the association under a contract to fulfil specific work or a specific initiative a tenant may have signed up to.

Just to reassure you, we will never sell any of your details for marketing purposes and we will only securely store or transfer your personal data within the UK

The length of time we keep your personal data depends on what it is and whether we have an ongoing business need to retain it. For example to comply with legal, tax or accounting requirements.

We'll retain your personal data for as long as we have a relationship with you and for a period of time afterwards where we have an ongoing business need to retain it, in accordance with our data retention policies and practices. Following that period, we'll make sure it's securely destroyed, deleted, or anonymised.
